Client Services Coordinator

Landmark Technologies is seeking an organised, proactive and customer-focused Client Services Coordinator to become the front-of-house presence for both our customers and our operations team.

This role sits at the centre of the business, ensuring calls are answered, customers are looked after, engineers and resources are coordinated, equipment and deliveries are managed, and the day-to-day operation runs smoothly. The ideal candidate enjoys variety and can comfortably switch between customer service, administration, scheduling, logistics and operational support.

Key Responsibilities

Customer Communications

  • Answer incoming telephone calls professionally and ensure enquiries are routed correctly.

  • Act as the first point of contact for customers contacting Landmark.

  • Monitor and respond to general administration enquiries.

  • Keep customers informed regarding appointments, engineer visits and service activity.

  • Ensure customer communications are professional, timely and consistent.

  • Escalate urgent customer issues where appropriate.

Service Coordination & Scheduling

  • Coordinate engineer diaries and appointments.

  • Schedule onsite visits and customer installations.

  • Assist with resource planning and field service scheduling.

  • Coordinate equipment collections and deliveries.

  • Support the Operations Manager with workload and capacity planning.

  • Maintain accurate records within our PSA/Ticketing System and associated systems.

Office Operations

  • Be the primary office presence during working hours.

  • Welcome customers, visitors and suppliers.

  • Manage incoming and outgoing post and courier deliveries.

  • Receive, check and record equipment deliveries.

  • Coordinate returns, warranty replacements and supplier collections.

  • Ensure meeting rooms and office facilities are maintained.

  • Assist with office administration and operational activities.

Asset & Logistics Management

  • Receive and check IT equipment deliveries.

  • Ensure hardware is recorded and correctly allocated.

  • Coordinate shipment of equipment to customers.

  • Support stock control and inventory processes.

  • Assist with warranty returns and supplier RMAs.

  • Maintain accurate asset and logistics records.

Process & Continuous Improvement

  • Identify opportunities to improve customer experience and operational efficiency.

  • Help maintain operational procedures and documentation.

  • Support adoption of automation, AI and improved workflows.

  • Ensure operational tasks are completed consistently and accurately.


Experience & Skills

Essential

  • Excellent telephone and customer service skills.

  • Strong organisational and administrative abilities.

  • Professional verbal and written communication.

  • High attention to detail.

  • Ability to prioritise multiple activities simultaneously.

  • Comfortable using Microsoft 365 applications.

  • Full clean driving licence.

  • Ability to work from the Dublin office.

Desirable

  • Experience working within an MSP, IT support company or technology business.

  • Experience using ConnectWise or similar service management systems.

  • Experience coordinating field staff, engineers or service resources.

  • Familiarity with IT equipment and basic technology terminology.

  • Experience in office management or front-of-house roles.
